SENIOR SCHOOL University Relations and Guidance CoordinatorAAETFS AO2Full-timeEffective: February 2015Reporting to the Executive Director of the Learning Forum, and under the day-to-day supervision of the Director of University Relations, the Coordinator will work closely with students, counsellors and faculty to provide administrative support and data management relating to university and scholarship applications, standardized university admissions tests, event planning and the Senior School Guidance Program Grades 6-12.This will include, but not be limited to the following responsibilities: Support the University Relations and Level 4/5 Guidance Counsellors with the university admissions and scholarship applications process: Assist the Director and the counselors in monitoring student completion of online and print application documents Answer questions from students and parents re: timelines, documents required; direct families to appropriate counselor for discussion Communicate with students and teachers to coordinate submission of teachers' letters of recommendation Compile and verify all materials in preparation for mailing of applications Liaise with Universities and other organizations Support regular updates to publications Coordinate all events and activities for niversity visits, workshops andUniversity admissions testing Prepare UR materials Summer mailings and other communication, presentations and reports Manage systems and databases and reporting: Prepare, maintain and update student confidential files and extensive Guidance resource files Manage a variety of databases as needed, process required changes, print reports, and update archives with new information. Troubleshoot issues with resources from the IT department: suggest changes, verify, test and liaise with staff regarding new database design. Work/serve as a resources person for key staff to answer data and other data analysis questions Track student mark information: enter data Act as a resource contact, coordinate other Guidance administrative/supervisory duties: As the primary contact in the Guidance Office, provide a warm and welcoming environment for the TFS community Support designated counselor at different grade levels Answer questions of a general or specific nature; triage issues of a sensitive/confidential nature and re-direct them to the appropriate resource. Receive and open and distribute mail, update bulletin boards and websites Collect Guidance info and post on Guidance portals throughout the year: gather information, translate if necessary, liaise with communication department and post regularly Organize, post all yearly files, and update the Manual for Guidance yearlyQualifications: University or College qualifications and experience in business, data management and customer service Experience in assisting students with university and scholarship applications is preferred Exceptional organizational and time management skills Strong interpersonal and communication skills required Extensive computer skills including expertise with variety of project management programs, along with Excel, Google apps, PowerPoint and social media Fluency in French and English, both in written and oral communication, is required.
